Policies & Procedures

At Ankyra Health, our mission is to provide compassionate, evidence-based, and faith-informed mental health care. The following policies are designed to ensure transparency, respect, and smooth coordination of services for all clients.

1. Billing and Payment Policy

Ankyra Health utilizes Headway for all billing and insurance services. As part of this process, clients are required to create an account with Headway prior to their first appointment.

This secure system ensures seamless billing, insurance verification, and claims processing. Please set up your Headway account promptly to avoid any billing delays.

​

2. Fee Responsibility

  • The full cost of missed or canceled appointments is the client’s responsibility and cannot be billed to insurance.

  • Payment for missed or late-canceled appointments must be received before additional appointments can be scheduled.

  • The credit card on file will be charged for missed appointments, late cancellations, or other applicable fees.

3. Missed Appointment and Cancellation Policy

We understand that unexpected circumstances may arise. However, to maintain an efficient schedule and respect the time of all clients, the following policies apply:

  • Missed Appointments: If you miss an appointment without prior notice, you will be charged the full fee for the session.

  • Late Cancellations: Cancellations made within 48 hours of the appointment time will also incur the full session fee.

Session Fees:

  • Intake Appointment: $325

  • 50-Minute Follow-Up: $220

  • 30-Minute Follow-Up: $150

To avoid charges, please provide at least 48 hours’ notice if you need to cancel or reschedule your appointment.

4. Follow-Up Appointment Lateness

If you arrive more than 10 minutes late to a 30- or 50-minute follow-up appointment, you will need to reschedule, and the corresponding missed appointment fee ($150 or $220) will be applied.

Please plan ahead to ensure your full appointment time.

5. Intake Appointment Lateness

If you arrive more than 15 minutes late to an intake appointment, you may need to be rescheduled. In such cases, the full $325 missed appointment fee will apply.

Timely arrival ensures a thorough evaluation and high-quality care.

6. Payment Methods

Headway accepts several convenient payment methods. At least one active payment method must be on file to ensure uninterrupted billing and scheduling. You may store up to two payment methods.

Accepted Payment Methods:

  • Credit cards (Visa, MasterCard, American Express, Discover)

  • Debit cards

  • Health Savings Accounts (HSA)

  • Flexible Spending Accounts (FSA)

  • Health Reimbursement Accounts (HRA)

You may update your payment method anytime through your Headway account:

  1. Log in to Headway

  2. Click your initials in the top-right corner

  3. Select Billing to add or update your information

7. Medication Refills

Please request medication refills at least 5 days before you run out of medication.

  • Early or emergency refills are not provided.

  • Refills are typically discussed and issued during scheduled follow-up appointments.
    Planning ahead ensures safe and consistent
    treatment.

 

8. Treatment Expectations

Ankyra Health is committed to providing ethical, compassionate, and evidence-based care.

Clients are expected to actively participate in their treatment by:

  • Attending scheduled appointments

  • Following prescribed treatment plans

  • Communicating openly about progress, side effects, or concerns

Treatment plans are individualized and developed collaboratively between client and provider.

9. Confidentiality and Privacy

Your privacy is protected under HIPAA (Health Insurance Portability and Accountability Act).

Information will not be released without your written consent, except as required by law (e.g., threat of harm to self or others, abuse, or court order).

10. Telehealth Policy

Ankyra Health provides care via secure, HIPAA-compliant telehealth sessions.

Please ensure you are in a private, quiet environment with a stable internet connection.

All telehealth sessions are subject to the same cancellation, lateness, and missed appointment policies as in-person visits.

11. Communication with Your Provider

For non-urgent matters, communication is available through secure messaging or email during regular business hours.

Messages are typically returned within 1–2 business days.

Please note:

Ankyra Health does not provide emergency or crisis services.

If you are in crisis, please call 988 or go to your nearest emergency department.

12. No-Show and Rescheduling Policy

If you cannot attend your appointment, please notify Ankyra Health at least 48 hours in advance to avoid a no-show fee and to allow others to schedule during that time slot. Repeated no-shows may result in termination of services.

13. Benzodiazepine Policy

Ankyra Health does not prescribe benzodiazepines (such as Xanax, Valium, Ativan, or Klonopin) for long-term use due to their risk of dependence and other health concerns.

If you are currently using these medications, your provider will work with you to safely taper and transition to safer, evidence-based alternatives.

14. Faith-Informed Care

Ankyra Health offers faith-integrated mental health care for clients who wish to incorporate spiritual values or faith-based principles into treatment. This component is always optional and tailored to each individual’s beliefs and preferences.
